View & download invoices
Chorilo emails an e-invoice for every online payment. Admins find them on the subscription page, and you find your own under My invoices.
This feature is only available on the web.
What is this?
Chorilo issues its own invoice for everything you pay to Chorilo: your choir's subscription, including Pay by Invoice, sheet music from the sheet music shop, partner titles, performance fees and tickets.
Each of these invoices:
- is a PDF with an embedded e-invoice (ZUGFeRD). The same invoice is also available as XML.
- has a number like CHO-2026-00001.
- shows exactly the amount that was charged. If credit was used for a subscription invoice, the invoice states how much of it was settled with credit.
- shows no VAT, because Chorilo is a small business under § 19 of the German VAT Act (UStG).
Older invoices for Pay by Invoice that were requested before the switch keep their old number and remain a plain PDF.
Chorilo only sends invoices electronically, as a PDF by email and for download. There are no paper invoices.
Who receives the invoice?
For online payments, the invoice is emailed right after payment:
- Subscription: to the person who pays the subscription. If their account no longer exists, to all administrators of the choir.
- Sheet music, partner titles and performance fees: to the person who bought.
- Tickets: attached to the confirmation email, sent to the buyer's email address.
Name and address on the invoice
Invoices for the subscription, sheet music, partner titles and performance fees are addressed to the choir. They show the name and address from Choir settings > General (street, postcode, city, country). Sub-ensembles receive invoices in their own name and with their own address.
If sheet music, partner titles or performance fees cost more than €250, the purchase only starts with the choir's complete address. If something is missing, a message asks you to enter the address under Choir settings > General. Up to €250 the invoice may be without the address.
For tickets, the buyer enters their name and billing address when paying.
Download the choir's invoices
- Click Ensembles in the sidebar, pick your choir and then Choir settings.
- Select Subscription. At the bottom, under Invoices from Chorilo, each invoice is listed with number, Item, date, status and amount, newest first.
- Via the menu on the row choose Download PDF or Download XML.
The list shows the invoices for the subscription, for Pay by Invoice and for this choir's sheet music, partner titles and performance fees. Cancellation invoices appear as a row of their own. Ticket invoices are not included, because they go to the buyer.
- Older subscription invoices from before the switch can be downloaded as before, as PDF.
- Pay by Invoice: If such an invoice is cancelled or expires unpaid, Chorilo creates a cancellation invoice and emails it. For an unpaid invoice it states that nothing is payable. You download the cancellation from the row menu with Download Cancellation PDF. Older invoices from before the switch are only available as PDF.
- While the SEPA direct debit is still running, the subscription invoice shows Pending and can't be downloaded yet. The invoice arrives once the money has been received.
My invoices
Under Profile > My invoices you see all invoices from Chorilo that were addressed to you as buyer or as the person paying the subscription. You can download each one as PDF or XML. This page is available to everyone, not only administrators.
- Click your profile picture in the top right and choose Profile.
- Select My invoices.
Refunds
If money is refunded in full or in part, or the bank finally reverses a payment, Chorilo automatically creates a cancellation invoice. It refers to the original invoice and is emailed to the same address as the invoice.
Billing portal
With Open Billing Portal you change the payment method of the subscription. Only the person who took out the subscription can open the portal. Other administrators see who to contact when they click it. You change the name and address on the invoices under Choir settings > General.
Request payment by invoice
As long as no subscription is active, click Pay by Invoice on the subscription page. You choose the term, enter the invoice name, email and address and request the invoice. The invoice shows the payment term of 14 days and Chorilo's bank details. Use the invoice number, such as CHO-2026-00001, as the payment reference. Once the payment arrives, the choir is activated or extended manually, which takes 2 to 5 working days. The bank account connection can't be booked this way.
Permission
Only administrators of the choir see the subscription page and the Invoices from Chorilo list. Everyone sees their own My invoices in the profile.
Tips
- Keep your choir's address up to date, so it is correct on every invoice.
- Pass the invoices to the treasurer regularly, so the bookkeeping stays up to date.
- Keep invoices. Invoices must be kept for 10 years.
